How to install your email signature

  • In Outlook, click on the ‘File’ tab (top left of page) and then click on ‘Options’
  • The options box opens
  • The 2nd menu item on the left should be ‘Mail ’.
  • Click on the ‘Mail’ menu item.
  • The third item in the Mail section is for signatures. Click on the ‘Signatures’ button.
  • Signatures and Stationary box opens.
  • Click on the button that says ‘New’ to create a new signature.
  • Type a name for your signature like your Name and Surname for example.
  • Paste your signature you copied earlier into the ‘Edit Signature’ pane (the block at the bottom of the Signatures and Stationary box).
  • Your signature appears.
  • CAUTION: When right clicking and pasting, Outlook will present you with 3 options for pasting under ‘Paste options’ . Make sure you select ‘Keep source formatting’! Verify that your signature looks ok, all text and images that should be there, are there, and that there are not additional funnies that should not be there. If something is not displaying correctly repeat the steps above. If it still does not display properly please read the help section of this guide.
  • Now verify your email account associated with this new signature (Check ‘E-mail account’ top right)
  • Lastly open the drop down box for ‘New messages’ and select your new signature. Optional: Do the same for ‘Replies/forwards’.
  • Click on ‘OK’ – You are done!
  • In Outlook click on the ‘Outlook’ menu item (top left) and then select preferences.
  • In Outlook Preferences, click on ‘Signatures’ in the “Email” section.
  • The Signatures box opens.
  • Click on the ‘+’ sign (bottom right) to create a new signature.
  • Change the default name to something meaningful, like your Name and Surname as an example.
  • In the right hand pane, select and delete the default text that Outlook adds.
  • Now paste the signature you copied earlier.
  • NOTE: The signature may not look right at this point, as the preview box does not resize according to the content. We will test the signature in an email.
  • OPTIONAL: You can make this your default signature by clicking on the ‘Default Signatures’ button, and associating your new signature with your email account.
  • Close the signature box by clicking the red button (top left)
  • Open a new mail.
  • If you selected the default signature option above, your signature will appear automatically. Otherwise, select your signature from the ‘Signatures’ button (Center top).
  • NOTE: Signature will be greyed out until you enter a recipient email address.
  • Enter your email address and send a test message to yourself with the new signature.
  • Verify that your signature looks ok, all text and images that should be there, are there, and that there are not additional funnies that should not be there. If something is not displaying correctly repeat the steps above. If it still does not display properly please read the help section of this guide or send us feedback.
  • Log in to your Google mail account.
  • Click on the ‘Gear’ icon (top right below your name)
  • Click on ‘Settings’
  • The settings page appears.
  • Scroll down to the ‘Signature’ section.
  • Change the radio button from ‘No signature’ to signature (unless already selected)
  • If you have an existing signature, click in the signature box, and select everything, and delete. (ctrl-a -> del - PC or cmd-c -> backspace - Mac)
  • Now paste the signature you copied earlier (cmd-v / ctrl-v or right click and paste).
  • NOTE: If your signature does not appear correctly (looks like plain text – no colour, etc), this could be a copy-and-paste problem. Please repeat the steps above. If it still does not display properly please read the help section of this guide or send us feedback.
  • Scroll down all the way to the bottom, and click on the ‘Save Changes’ button. NOTE: do not change any other settings.
